Assets and asset types

Document servers, workstations, network gear and more, with fields that fit each kind of device.

Assets are the devices and infrastructure you manage. Each asset has an asset type, and the type decides which fields it has.

Built-in asset types

Asset type Example fields
Server Hostname, role, operating system, IP address, manufacturer, model, serial number, warranty expiration, backup method
Workstation Hostname, assigned user, operating system, IP address, serial number, warranty expiration
Network Device Device type, model, management IP, firmware version, management URL
Firewall Model, WAN and LAN IP, firmware, VPN configuration, subscription expiration
Internet / WAN ISP, circuit ID, connection type, static IPs, gateway, contract expiration
Printer Model, IP address, serial number, supplies
Other Description

Things that aren't devices, such as email platforms, licenses and backups, are flexible assets.

Add an asset

  1. Open the organization, then the Assets tab.
  2. Choose + Asset and pick the asset type.
  3. Fill in the fields you know, set the status (Active, Inactive, Retired or Planned) and save.

On the asset's page you can also link a location and a contact, add tags, see the passwords linked to it, and add related items such as the runbook for restoring it.

Tip: IP addresses have a Copy link, and linked passwords have a Copy button, so you rarely need to select text.

See every asset of one type

The Assets tab lists everything in one organization, with filters for type, status and tag. To see one type across all clients, for example every firewall you manage, go to Admin β†’ Asset types and click the type's name. Clicking the type above an asset's name shows that type within the organization.

Change an asset type's fields

Admins (or anyone with Manage asset types) can change fields in Admin β†’ Asset types. The editor is the same visual builder used for flexible assets.

Field type Use it for
Text, Long text Names, notes, configuration
Number, Date Counts, purchase dates
Dropdown, Multi-select A fixed list of choices
Checkbox Yes/no
Link (URL), IP address, Email, Phone Values that become clickable or copyable
Tag (link to items) Point at other items, such as the server an application runs on
Section heading Group fields under a title

Tick Expiry on a date field (such as Warranty Expiration) and the date appears on the dashboard's expiring list and can trigger expiration alerts.

Note: Renaming a field keeps its values. Removing a field hides its values rather than deleting them, and they come back if you add a field with the same key again.
