Setting up your workspace
A checklist for your first hour, from inviting your team to connecting your PSA.
This checklist gets a new workspace ready for your team. Most steps take a minute or two, and you can come back to any of them later.
1. Explore with sample data (optional)
If you ticked Load sample clients when you signed up, you'll see three example organizations with assets, passwords, documents and domains. They're a safe place to try things out. If you didn't, an admin can load them from Admin β General β Load sample data. The option disappears once sample data has been loaded, even if you later delete the examples.
Tip: Sample clients are ordinary organizations. Delete them from each organization's page when you're done.
2. Turn on two-factor authentication
Your workspace holds the keys to your clients' systems. Open your profile (your name, top right) and choose Set up two-factor. See Two-factor authentication and sign-in security.
3. Invite your team
Go to Admin β Users and add each person with their name, email and role. Leave the password empty to get a one-time setup link to send them, so they choose their own password. You can also put them in teams and limit them to certain organizations. See Users, roles and teams.
4. Bring in your clients
Choose whichever is quickest:
- Sync from your PSA or RMM: ConnectWise PSA, HaloPSA and NinjaOne can create organizations, locations, contacts and assets for you. See PSA & RMM sync.
- AI import: paste an old handover document, onboarding notes or an export into an organization's AI Import tab. See AI writer and AI import.
- By hand: create organizations from Organizations β + Organization.
5. Check your asset types
Knowpoint comes with asset types for servers, workstations, network devices, firewalls, internet connections and printers, and flexible asset types for email, domains, SSL certificates, software licenses, applications and backups. Adjust their fields in Admin β Asset types and Admin β Flexible assets. See Assets and asset types and Flexible assets.
6. Choose your AI
Ask AI, the AI writer and AI import use the AI included with Knowpoint, or your own Anthropic or OpenAI key. Choose in Admin β AI & API β Choose AI provider. See Ask AI.
7. Set up alerts
Go to Admin β Notifications and choose Add recommended rules. You'll be alerted about things expiring, unusual password access, security changes and repeated failed sign-ins. See Notifications and alert rules.
8. Track your domains
Add each client's domains from their Domains tab. Knowpoint looks up registration, DNS and certificates and keeps them up to date. See Domain & SSL tracker.
Workspace settings
Admin β General has workspace-wide settings:
| Setting | What it does | Default |
|---|---|---|
| Expiration warning window | How many days ahead the dashboard shows things that are expiring | 60 days |
| Refresh domains automatically | Re-check WHOIS, DNS and SSL in the background | On |
| Refresh domains every | How often each domain is re-checked | 24 hours |
