Flexible assets and the visual builder
Document anything that isn't a device, with your own fields and fields that appear only when they apply.
Flexible assets are structured documentation for things that aren't devices: an email platform, Wi-Fi networks, software licenses, backups, line-of-business applications, a phone system. Each flexible asset type is a form you design, and every client can have as many items of that type as they need.
Knowpoint starts you with Email / M365, Domain, SSL Certificate, Software License, Application and Backup.
Use a flexible asset
Open an organization, then the Flexible assets tab, and choose the type, or use the shortcut for that type in the left sidebar, which lists every item of that type across all clients. Choose + New, fill in the form and save.
Create or change a flexible asset type
Go to Admin β Flexible assets and choose + New (or Copy an existing type to start from it). Give it a name, an icon and a description, then build the fields.
- Show in the left sidebar pins the type to the sidebar for everyone.
- Every organization (global) makes it available to all clients. Choose Only these organizations for a type that only some clients need.
The visual builder
The builder has two views. Switch between them with πΊ Map and β° List.
Map shows your form as boxes connected by lines:
- The Always shown box holds fields everyone sees.
- Each dropdown field has a β dot next to every choice. A line from a choice to a box means "show these fields when this choice is picked".
- Choose + in a box to add a field there, or click any field to edit it in the panel on the right.
- Drag from a choice's β onto a field to show that field only for that choice. Click a line and choose Remove connection to undo it.
- Pan by dragging the background, zoom with the controls, and use Fit to see everything.
List shows the same fields in form order. Use the arrows to move a field; fields that depend on it move with it.
Conditional fields
Only dropdown fields can show or hide other fields. For example, an Email / M365 type might have a Platform dropdown with Microsoft 365 and Exchange on-premises:
- picking Microsoft 365 shows Tenant name and Licenses;
- picking Exchange on-premises shows Exchange server and Version.
When someone fills in the form, the extra fields appear as soon as they pick a choice. If a value changes later, hidden fields keep their data, so nothing is lost if you switch back.
Tip: Mark a field as Required in its settings, and the form won't save without it, but only when the field is showing.
Tag fields
A Tag (link to items) field points at other items, such as "Runs on: HV-APP01". When setting it up, choose what it can link to: any asset, one asset type, flexible assets, contacts, locations, passwords, documents or domains. Linked items show up on both pages, under Related items.
