Export and import
Download your documentation as JSON and spreadsheets, and bring data in from another workspace or a CSV file.
Go to Admin β Export & import. You need the Export data or Import data permission. Admins have both, and you can add them to a custom role in Admin β Roles.
Export
- Tick what to export: locations, contacts, assets, flexible assets, passwords, client documents, the knowledge base, domains, tags and related items. Organizations are always included.
- Choose All organizations, or Only the ones I choose and tick them.
- Optionally tick Include password values (see below).
- Click Download export.
You get a ZIP file containing:
- knowpoint-export.json: the complete copy. Import it to restore your data or move it to another workspace.
- spreadsheets/: one CSV per section, and one per asset type and flexible asset type, ready for Excel or Google Sheets.
An export only contains what the person exporting can see: their organizations, and no restricted items they weren't given access to. Every export is recorded in the audit log. A Security changes alert rule can also notify you when someone exports data.
Password values
By default, passwords are exported without their values: only names, usernames, URLs and notes. To include the values and one-time code secrets, the person needs both Include password values in exports and Reveal and copy passwords. Admins have both.
Password values in an export are plain text. Keep the file somewhere safe and delete it when you're done.
Import
- Under Import, choose a file: a Knowpoint export (.zip or .json), or a CSV.
- For a CSV, choose what's in it. For assets and flexible assets, also choose the type. Download a CSV template shows the columns that are understood.
- Click Preview import. You'll see how many items will be added and how many already exist. Nothing changes yet.
- Click Import to add them, or Cancel.
How matching works:
- Organizations, asset types and tags with the same name are reused, not duplicated.
- Items that already exist (the same name in the same organization) are skipped. Imports never overwrite or delete anything.
- Exactly what counts as a match is listed in Matching and avoiding duplicates.
- Links survive a Knowpoint export round trip: related items, tags on items, a password's asset and links in tag fields all point at the newly imported items.
Importing needs access to all organizations, so nothing is duplicated into a client you can't see. Password values are only imported for people who can manage passwords.
Moving from IT Glue, Hudu or a spreadsheet
Export each kind of item to CSV from your old tool, then import the files one at a time: organizations first, then locations and contacts, then assets, passwords and domains. Common column names are recognized automatically, for example Organization (or Client or Company), Name, Username, Password, URL, First name and Email. Asset columns are matched to your asset type's fields by label. A Tags column (separated by semicolons) tags each item.
