Record an SOP
Click and type through a procedure in your browser and the extension turns it into a step-by-step document with screenshots, with each step named and described by Knowa.
The SOP recorder in the browser extension turns a procedure into a document as you do it. Click and type through the task in your browser. Each click becomes a step, with a screenshot of the screen and the spot you clicked circled in red. So does what you type in each field, with the field outlined in red. Save it to a client or the Knowledge Base, and Knowa looks at each screenshot and gives the step a name and a description.
Record one
- Open the page where the procedure starts, such as the Microsoft 365 admin center.
- Open the Knowpoint extension. On This page, choose Record an SOP, then Start recording. The first time, your browser asks to let Knowpoint read the data on all websites: choose Allow. Your browser only lets an extension take screenshots of a tab once it has that, and Knowpoint uses it only while you're recording, in the tab you're recording.
- Click and type through the procedure in the tab, one step at a time. Clicking into a field and typing in it is one step, such as Type “Jo Smith” in the “Display name” field, recorded when you move on (click elsewhere, or press Tab or Enter). The toolbar icon shows REC while it's recording. Moving to other pages in the same tab is fine.
- Choose Stop recording.
Check it and save it
The extension shows every step with its screenshot. Before saving you can:
- change a step's caption;
- remove a step with ×, such as a click you didn't mean;
- choose Record more to add steps at the end.
Give it a title, choose where to save it (a client, or the Knowledge Base) and a folder if you like, then choose Save SOP. If your workspace uses document approval and you can't publish yourself, it waits for an approver.
Knowa names the steps
With AI set up, Knowa looks at every screenshot after you save, along with the page and what was clicked or typed. Where what you typed is just an example, like a person's name, Knowa says what to enter instead, such as Enter the new user's display name. It gives each step a short instruction as its title, such as Select Add a user, and a sentence or two on what to do. It also adds a summary of the whole procedure at the top. This takes a minute or two; open the document again to see it.
Knowa only rewrites the document while it's as you saved it. If you edit it first, your version is kept.
Privacy
- Clicks, and what you type in fields, are recorded. What you type in a password field, or a field that looks like it holds a secret (an API key, a one-time code, a PIN or a card number), never is: the step just says Enter the password in the “Password” field, and password fields only ever show dots in the screenshots.
- Screenshots are of the tab you're recording, at the moment you click or finish typing in a field. Check them before saving, and remove any that show something that shouldn't be in the documentation.
- Screenshots are stored with the document, and only people who can see that client's documentation can see them.
- Nothing is sent to Knowpoint until you select Save SOP.
If no steps are recorded
- "Knowpoint can't take screenshots" shows while recording: the browser didn't give Knowpoint access to all sites. Select Stop recording, then Start recording again and choose Allow.
- Nothing happens on some pages: the browser doesn't let extensions record its own pages (the new tab page, settings and the extension store), or files opened from your computer.
